Our verdict

Freelancers and small service businesses will be happier in FreshBooks: it makes getting paid painless. Businesses with stock, staff or an accountant who lives in QuickBooks should choose QuickBooks Online, which scales further.

QuickBooks Online and FreshBooks are often compared, but they start from opposite ends. FreshBooks began as invoicing software for freelancers and service businesses, and still makes billing clients the centre of the experience. QuickBooks Online is full double-entry accounting with inventory, payroll and a huge accountant network. Your answer depends on whether you mainly bill time or run a business with stock, staff and complex books.

Choose QuickBooks Online if…

  • You need full accounting: inventory, purchase orders, class tracking
  • Your accountant works in QuickBooks (common in the US)
  • You plan to add payroll, multiple users or more complex reporting
  • You want the largest app and accountant ecosystem

Choose FreshBooks if…

  • You are a freelancer, consultant or small service firm
  • Polished invoices, time tracking and client payments matter most
  • You want the simplest possible bookkeeping experience
  • You bill projects and want proposals and retainers built in

Core purpose

FreshBooks optimises the client-billing loop: time tracking, expenses, invoices, reminders and payments. QuickBooks Online optimises the accounting loop: bank reconciliation, chart of accounts, inventory and reporting for owners and accountants.

Users and pricing

QuickBooks plans are priced by tier with user caps (Simple Start is one user, Plus allows five). FreshBooks plans include one user, with additional team members around $11 each per month. For a three-person team that only needs invoicing, FreshBooks can be cheaper; for full accounting with several users, QuickBooks often wins.

Inventory and projects

QuickBooks Plus and Advanced track inventory and project profitability. FreshBooks has project tracking for services but no real inventory management.

Accountant ecosystem

QuickBooks is the default in US accounting firms and has the largest app marketplace. FreshBooks has an accountant portal and integrations, but fewer bookkeepers specialise in it.

Ease of use

FreshBooks is the easier product for non-accountants: fewer screens and plain-language labels. QuickBooks is approachable but expects more bookkeeping knowledge as you go deeper.

Switching between QuickBooks Online and FreshBooks

Migration difficulty: Moderate

Switching accounting systems is easiest at year end or quarter end. Customer lists, items and open invoices move easily; historical transactions are best kept as opening balances plus an archive.

  1. Agree the cut-over date with your accountant, ideally a period end.
  2. Export customers, vendors, items and open invoices and bills.
  3. Enter opening balances from a trial balance at the cut-over date.
  4. Reconnect bank feeds and reconcile the first month carefully.
  5. Keep read-only access or exports of the old system for tax records.
