A free CRM is the fastest way to stop losing leads in inboxes and spreadsheets. The catch is that “free” means very different things: one vendor gives you unlimited users and a usable pipeline, another caps you at two or three seats, and most hold back automation, reporting and integrations for paid tiers.
We looked only at CRMs with a permanent free plan — not trials — and judged them on what a small team can actually run on day to day, how painful the upgrade path is, and whether your data stays portable if you outgrow the free tier.
The bottom line
HubSpot's free CRM is the best place for most small teams to start: unlimited users, a real pipeline and email tracking at no cost. Choose Zoho CRM's free plan if you want more customisation and plan to grow into the Zoho suite, or Freshsales if built-in calling matters. Budget for the jump to paid automation before you commit.

HubSpot CRM
ResearchedThe most generous free plan in the category: unlimited users, contacts and deals, email tracking, meeting scheduling and a shared inbox.
HubSpot's free CRM covers contacts, companies, deals, email tracking and a shared inbox with no time limit, which makes it the default starting point for many small teams. Paid Sales, Marketing and Service Hubs add automation, sequences, forecasting and reporting, with a modular structure that lets you buy only the hubs you need.
Ideal for: Teams of any size that want a free CRM with room to grow into marketing and service.
Watch out for: Automation and custom reporting require paid tiers, and the Professional jump is steep.
Pros
- Generous free plan with unlimited users
- Clean, intuitive interface with fast onboarding
- Large app marketplace and native integrations
Cons
- Steep price increase at Professional tier
- Many reporting and automation features are paid

Zoho CRM
ResearchedFree for up to three users with leads, deals, contacts and basic workflows — and the cheapest path into serious customisation.
Zoho CRM offers pipelines, automation, territory management and analytics at lower per-seat prices than most rivals. It is part of a broad family of Zoho apps — from books to help desk — that can be bundled together, making it a strong value play for cost-conscious businesses willing to spend time on configuration.
Ideal for: Very small teams that want a configurable CRM and may adopt other Zoho apps.
Watch out for: The free plan is capped at three users and has limited storage.
Pros
- Strong feature set for the price
- Automation available on lower tiers
- Integrates tightly with the Zoho ecosystem
Cons
- Interface can feel dense
- Setup and customisation take time

Freshsales
ResearchedFree for up to three users, with a clean interface and Freshworks' built-in communication tools on paid tiers.
Freshsales is Freshworks' sales CRM. It combines contact and deal management with built-in email, phone and chat, plus Freddy AI for lead scoring and deal insights on higher tiers. It sits between simple pipeline tools and heavyweight platforms, with a free plan for very small teams.
Ideal for: Small sales teams that live on calls and email.
Watch out for: AI features and advanced reporting sit on higher tiers.
Pros
- Built-in phone, email and chat
- Low entry price
- Clean, modern interface
Cons
- Best AI features on Pro and above
- Smaller marketplace than leaders

Insightly
ResearchedA free plan for two users that links contacts and opportunities to projects — useful for service businesses that deliver after the sale.
Insightly combines a traditional CRM with project management, so won deals can be converted into projects tracked in the same system. Workflow automation, custom objects and an app builder are available on higher plans. It suits service businesses that want sales and delivery in one place.
Ideal for: Service firms that hand closed deals to delivery projects.
Watch out for: Two-user free limit and a noticeable price jump to paid plans.
Pros
- Projects built into the CRM
- Custom objects and fields
- Workflow automation on Professional
Cons
- Interface feels dated
- Automation on higher tiers

What a free CRM should cover
For a team of one to ten, a free CRM should replace the shared spreadsheet completely. At minimum that means one place for contacts and companies, a visual deal pipeline with stages you can rename, activity history (calls, emails, notes) on every record, tasks and reminders, and a mobile app for people who sell on the road.
- Contacts, companies and deals linked together
- A pipeline you can customise without paying
- Two-way email sync or at least logging from Gmail or Outlook
- Tasks, reminders and a daily to-do view
- CSV import and export so you can leave
The limits that push you to pay
Most teams upgrade for one of four reasons: they add a fourth (or third) user, they need automation such as assigning leads or sending follow-ups, they want reports beyond the basics, or they need an integration that is paid-only. Before you commit, open the vendor's plan comparison and note which of these is gated, then price the tier you would need in a year.
Keeping your data portable
Free plans are a funnel, and some vendors make leaving harder than joining. Check that contacts, deals and notes export to CSV on the free tier, and keep a monthly export while you evaluate. If you later switch, see our head-to-head comparisons for migration steps.
How we chose
- We started from every CRM we track, then filtered to products that fit this specific need using vendor documentation, public plan pages and trust/security pages.
- Each pick carries the same weighted score it has on its full review; the overall score is calculated from six criteria and never typed in by hand.
- We only included CRMs with a permanent free plan (not a time-limited trial) and checked free-plan user limits and gated features on each vendor's plan page.
- Labels such as “best for” describe fit for a situation, so a lower-scoring tool can be the right choice. Products marked “Researched” were assessed from documentation and public information rather than hands-on testing.
- Prices are indicative and dated on each review. Confirm the current plan, limits and renewal price on the vendor's site before you buy.

Count users honestly
Free plans capped at two or three users are perfect for founders but break the moment you hire. If you expect to grow past the cap within six months, weigh the cost of the first paid tier from the start.
Check email and calendar sync
A CRM people forget to update is worse than none. Make sure it logs emails and meetings from Gmail or Outlook automatically on the free plan, or adoption will suffer.
Price the first paid tier
The real decision is usually between paid tiers, not free plans. Use our seat cost calculator to compare each vendor's cheapest paid plan at your team size.
Avoid lock-in
Export your data monthly during evaluation and confirm the export includes notes and activity history, not just contacts.

Buying checklist
Before you commit, confirm each of these on the exact plan you will buy:
- Two-way email and calendar sync
- Pipeline view that matches your sales stages
- Automation available on the tier you can afford
- Reporting your managers will actually use
- Clean data export if you ever leave
Avoid these mistakes: Buying for features you might need in three years instead of the process you run today. Importing a messy spreadsheet without de-duplicating it first. Giving paid seats to people who only need to view data.
Frequently asked questions
Is HubSpot CRM really free?
Yes. HubSpot's free CRM has no time limit and supports unlimited users with core contact, deal and task management. Advanced features are part of paid Starter, Professional and Enterprise tiers.
What is the best free CRM for a solo founder?
HubSpot or Zoho CRM. HubSpot is easier to start with; Zoho offers more customisation within its three-user free plan.
Does Pipedrive have a free plan?
No. Pipedrive offers a free trial but no permanent free plan. Its entry paid tier is inexpensive, so it is worth considering if you are willing to pay from day one.
Can a free CRM send marketing emails?
Some free plans include limited marketing email (HubSpot includes basic email marketing with branding). For regular newsletters, expect to pay for marketing features or use a dedicated email tool.
When should I upgrade from a free CRM?
When you need automation, more users than the free cap, custom reporting, or a paid-only integration — or when manual work is costing more than a paid seat.
