How it works
Per-user plans: monthly cost = price per user × usersFlat plans: monthly cost = flat price (when your team fits the plan's user limit)Cheapest plan = lowest-cost paid tier that allows your number of usersAnnual = monthly × 12

How CRM pricing works
Most CRMs charge per user per month, with three or four tiers. The entry tier usually covers contacts, deals and a pipeline; automation, custom reporting, forecasting and permissions are kept for higher tiers. A few vendors offer free plans for small teams, and some bundle marketing or service features into the same price.
Tips to keep CRM costs down
- Only give paid seats to people who manage deals; others can often be view-only or use integrations.
- Pay annually once you are sure — but trial monthly first.
- Check contact limits and marketing-contact pricing, which can grow faster than seats.
- Ask for a startup or non-profit discount if you qualify.
Reading the results
The calculator prices each CRM's cheapest paid plan that fits your team, or its top plan if you switch the view. Remember that the cheapest plan may not include the automation, sequences or reporting you need. Open each review's pricing table to see which tier unlocks the features on your must-have list, then re-run the calculator with that in mind.
Costs beyond the licence
- Onboarding or implementation fees on higher tiers
- Marketing contact tiers (HubSpot) that scale with your list
- Calling minutes and phone numbers
- Data enrichment and lead-generation add-ons
- Admin time to maintain fields, automations and reports
Frequently asked questions
Are these prices exact?
No. They are indicative list prices from each vendor's public pricing page, typically for annual billing in USD, and dated on each review. Always confirm on the vendor's site.
Why does a tool show “Custom quote”?
Some top tiers are only priced on request. We show them so you know the option exists but cannot calculate a cost.
Which CRM is cheapest for a small team?
It depends on your team size — enter your number of users above. For very small teams, free plans can be enough to start.
Which CRM is cheapest for 10 users?
It depends on the features you need. Zoho, Freshsales and Pipedrive usually have the lowest per-seat prices for paid tiers; HubSpot's free plan costs nothing.
Are free CRM plans included?
Free plans are shown separately because true-cost comparisons assume a paid business plan.
